Music Theatre Programme — Terms of Participation

Music Gym

A. About the Programme

Music Gym runs a free Saturday music theatre programme for children aged 5–11 at Meriden Community Centre, Garsmouth Way, Watford WD25 9ET. We have established Music Gym Academy CIC (Community Interest Company) to support this programme through grant funding and community partnerships as it grows.

Classes run during term time on Saturdays, 9:00am–10:00am. The programme operates for approximately 41 weeks per year.

There is no charge to attend. No registration fee, no materials fee, no hidden costs.

B. Eligibility & Registration

The programme is open to children aged 5–11. Places are limited to 20 per class.

To register, a parent or guardian must complete the online registration form at musicgym.co.uk/music-theatre or contact Music Gym by phone on 01923 523027.

By registering your child, you confirm that you are their parent or legal guardian and that the information provided is accurate.

C. Safeguarding

All Music Gym teachers hold current enhanced DBS checks. Music Gym operates a safeguarding policy which is available at musicgym.co.uk/safeguarding-policy.

A parent or guardian must drop off and collect their child at the start and end of each session. Music Gym is not responsible for children before drop-off or after collection.

If your child has any additional needs, medical conditions, or allergies that we should be aware of, please let us know on the registration form or speak to us directly. We welcome children with additional needs.

D. Photography, Video & Consent

Photography and video

Music theatre is a performing arts programme. Photography and video are a regular part of how we run sessions, record progress, and promote the programme to other families in the community. During end-of-term showcases, parents and family members will also be filming.

Because of the nature of the programme and the size of our team, we are unable to guarantee that any individual child can be kept out of photographs or video — whether taken by Music Gym or by other families during showcases.

For this reason, consent for your child to appear in photographs and video is a condition of joining the programme.

We use photographs and video for promotional purposes including the Music Gym website, social media (Facebook, Instagram, YouTube, TikTok), printed flyers, and press coverage.

If you are unable to give photo and video consent — for example, due to a safeguarding concern or court order — we completely understand, but unfortunately we are not able to offer a place on this programme. Please contact us if you would like to discuss your family's situation.

Consent is given via the registration form and can be withdrawn at any time by contacting Music Gym. If you withdraw consent, your child's place on the programme will end and we will remove any photographs or video featuring your child from Music Gym channels where reasonably possible.

E. Behaviour & Attendance

We expect children to behave respectfully towards teachers and other children. Music Gym reserves the right to ask a child to leave a session if their behaviour is disruptive, and in extreme cases, to withdraw a child's place on the programme.

There is no obligation to attend every week. However, if your child will not be attending for an extended period, please let us know so we can offer the place to another child on the waiting list.

Please do not bring your child if they are unwell.

F. Liability

Music Gym holds public liability insurance. However, Music Gym accepts no responsibility for loss of or damage to personal property, or for injury sustained outside of the direct supervision of Music Gym staff during sessions.

Music Gym reserves the right to cancel or amend the programme at any time. In the unlikely event that the programme is discontinued, registered families will be notified in advance.

G. Data Protection

Information collected on the registration form is used solely for the purpose of administering the music theatre programme and contacting you about sessions, showcases, and related Music Gym activities.

Music Gym will not share your personal data with third parties. Data is stored securely and retained for a maximum of two years after your child's last attendance.

Personal data collected for the music theatre programme is held and processed by Something Guitar Ltd (trading as Music Gym) in accordance with Music Gym's Privacy Policy at musicgym.co.uk/privacy-policy.
